After reaching a certain volume of activity, we had to measure the productivity of some departments (especially of the logistics, commercial and production departments) to know the activity they were developing and the use they made of their tools, with the objective of analyzing their performance and drawing conclusions.
In addition, since it was not an automatic data collection, the information obtained was not a true reflection of the efforts and hours spent on the many projects that the company manages, causing serious planning problems and erroneous estimates of the workload.
We manage 100% of our processes internally (except for transport and hosting that are outsourced). Due to the specific features of our business, management is one of the biggest challenges because we produce campaigns, we manage online marketing, we operate with our own email marketing tool and we have a logistics center.
Our objective was, on the one hand, optimize the management of these three key departments for the company, since due to their ability to generate and manage campaigns it is essential to measure and analyze their productivity. On the other hand, we needed to convey to some of our employees that their performance was going to be evaluated.
Although, initially, we implemented the EffiWork solution only for some employees, later it was extended to the departments directly related to operations, to finally end up implementing it 100% of the organization.
In this process we understood that the culture of efficiency should extend to the whole company.
At the beginning of the process, the employees made their queries about the objective of implementing this system and we were able to solve their doubts within a period of 2 weeks. After this time, EffiWork was understood as one more solution within the different management tools of our company.
The results were practically immediate.
For workers whose functions were directly related to the management of computer applications, their performance improved between 20 and 30%. This effect was noticed after the first 2 weeks of implementation since themselves were aware of how they managed their time.
The introduction of EffiWork generated a competitiveness factor between the different departments, which led to the organization of periodic meetings to monitor their results and by contrasting them with EffiWork's metrics, they were able to see the best practices by work area.
The implementation of this system generated some interesting situations, such as that of one of our employees who had little communication with her colleagues and who communicated to us that she wanted more workload since with the work that she had, she "had plenty of time".
After evaluating the effects of applying this software to all the organization employees, in the first 3 months from its start, we achieved a consolidated increase in productivity of 30%.
